Welcome to NEXAS “ Sainik School Nagrota Ex Students Association” online Alumni
Portal.
1. “NEXAS” stands for “ Sainik School Nagrota Ex Students Association” which will
be a Trust & the same will be referred to as the 'Nexas'.The permanent office of
the Nexas shall be situated at NEXAS, C/O Sainik School Nagrota, J&K, PIN 181221.
However, a working office may be created subsequently at Jammu for the sake of ease
and better coordination. In addition, a virtual office through website or mobile
application may also be created for the members outside the state/UT and overseas
members too.
2. Although, the NEXAS shall have its Head office at Jammu but it will be free to
undertake suitable activities in other parts of World through its other representatives,
nominated from time to time. The NEXAS is also free to undertake any other work,
if necessary, when invited to do so by the Central or other State Government bodies
or an Institution having objects similar to its own.
(1) To remain positively affiliated and connected with Sainik School Nagrota.
(2) To foster a sense of NEXAN brotherhood by building commitment and involvement
among the members and to mobilize the resources to help NEXAS for the achievement
of its aim and objectives.
(3) To provide monetary or material assistance to its members, staff and students
of Sainik School Nagrota as deemed appropriate.
(4) To provide opportunities for community engagement activities and to act as goodwill
ambassadors of NEXAS.
(5) To provide mentorship in job placement training and support to its members.
(6) To develop and maintain a digitized database of all members and make it available
online through website or such other means of communication.
(7) To felicitate and honour distinguished Alumni of NEXAS who have excelled in
various walks of life.
(8) To organise and conduct events, get together and meetings to foster spirit of
brotherhood and strengthen relations among its members, school management, school
faculty, ex students and students of Sainik School Nagrota.
(9) To accept donations, raise subscriptions from the members of Trust, its well-wishers,
State or Union Government, General Public and from other Individual(s),Firm(s),Company(ies)or
Institution(s) from India and overseas for the betterment of NEXAS and society.
(10) To create and run NEXAS CLUB for its members and create tangible assets for
its smooth functioning.
(11) To do all such other lawful acts, deeds or things as are necessary and conductive
and incidental for the attainment of any of the objectives stated above.
(1) Management Committee:- The Management Committee shall be an
elected body who shall enjoy all the rights and privileges of a governing body.
The committee shall be elected through an election process encompassing all members
and the term of the Committee shall be for a period of two years. They shall be
responsible for smooth running of NEXAS and its activities. The members of the management
committee shall be:
- President
- Vice President
- Gen Secretary
- Treasurer
(2) Advisory Group:- Advisory group shall be a nominated group comprising
of upto 20 members who shall assist the Management Committee in its functioning
as well as conduct of various event as enshrined above in the aim and objectives.
It shall also assist and advise the Management Committee in case of any difference
of opinion or arbitration. However the final execution rights in decision making
shall remain with the Management Committee.
(3) Batch Representatives/ Volunteers:- Three Batch representatives
shall form core for implementation of Trust activities and policies within their
respective batches. They shall assist the management committee in collection of
Trust subscriptions. The Management Committee is at liberty to nominate member each
from various batches or geographical boundaries within India or outside as Batch
representatives who shall act on behalf of NEXAS to implement various activities.
These representatives shall enjoy no execution rights in decision making.
(4) Working Groups:- The temporary working groups may be created
for a specific period, event or objective by the management committee.
(5) Administration of Trust and Power of Management Committee:-
The Management Committee shall have power to:
(a) The members of the management committee shall act as Trustees to the Trust.
(b) To administer the Trust, its properties and affairs and do all the things which
will fulfill the performance of the objects for which the Trust is established and
for this purpose the Board can apply the whole or any part of the Trust property
towards the payment of the expenses of the Trust.
(c) The income and the properties of the Trust will be solely utilized towards the
objects of the Trust and no portion of it will be utilized for payment to the Management
Committee or Trustees or their relatives by way of salary, allowances, profit, interest,
dividend etc.
(d) To open one or more bank accounts separately for NEXAS Trust and NEXAS Club
and operate the same or provide for operation of the said accounts by any two among
them authorized on their behalf.
(e) To invest the Trust funds in the manner not prohibited by any provisions of
the Income Tax Act, 1961.
(f) To buy, sell, mortgage, grant, lease, hire or otherwise alienate all or any
of the properties of the Trust in its discretion for adequate consideration. However
any sale or alienation of immovable properties of the trust can be done only after
obtaining the prior approval of the appropriate authorities.
(g) To execute Power of Attorney or Powers of Attorney to any person for the purpose
of executing, administering or managing the whole or any part of the Trust for the
purpose of all or some objects of the Trust.
(h) To borrow money with or without security and to repay the same.
(i) To receive, collect and enforce recovery of all monies due or payable to the
Trust and grant receipts and discharges therefore.
(j) To settle, compromise or compound any disputes or refer the same to arbitration
or litigation.
(k) To receive voluntary contributions from any person or persons from India or
outside, after complying with the statutory formalities, by way of donation, gifts
or in any other manner and to hold the same upon Trust for the objects set forth
herein.
(l) To appoint, suspend, dismiss or otherwise deal with the staff required for the
administration of the Trust, to frame rules relating to their salaries and other
benefits and generally to exercise all powers ancillary and incidental to effectively
carry out the objects of the Trust.
(m) The Management Committee shall have power to make and rescind rules and regulations
for the management and administration of the Trust.
(m) No Trustee shall commit any act or breach of Trust of the Trust fund or property
or cause any loss to the Trust property or commit fraud in the administration of
the Trust fund / property.
(n) The Trustees shall hold honorary office and shall not be entitled to any Salary,
allowances or perquisites, except for the reimbursement of actual expenses incurred
in connection with attending to the Trust matters.
(o) The management committee will also follow the instructions given by any donor
who makes substantial contribution towards furtherance of the objects of the Trust,
so long as such instructions are not detrimental to the attainment of the objects
of the Trust and are in conformity with the provisions of the Income-tax Act, 1961.
1. Roles and Responsibilities: The Roles, Responsibilities and
powers of all the officers are detailed below. In addition to these, the Management
Committee may grant additional roles, responsibilities and powers to any of the
members.
(a) President: The President shall preside over the meeting of the
Management Committee. The President is authorized to sign all documents, including
bank documents, acknowledgements for the contributions received, and agreements
with individuals, Government Institutions and other organizations, on behalf of
the Management Committee. The President shall have all the residuary powers, not
explicitly assigned to any of the other officers in these presents. The President
is authorized to sign along with the Treasurer, bank cheques, deposit release vouchers
etc. The President is empowered to appoint or remove any member from any subcommittee
and its offices; if he finds that his/her activities are not congenial to the activities
of the Trust. The President cannot appoint or remove any of the elected members
to the Management Committee on his own. Members to the elected committee can only
be removed after voice vote during an AGM. The President is responsible for ensuring
that the Trust pursues its Objects and for maintaining the dignity of the Trust
organization and shall use his influence to promote the activities of the Trust.
(b) Vice President: The Vice President shall discharge the duties
of the President, in the absence of the President of the Trust and shall have the
power and authority delegated and assigned to him/her by the President. He shall
also monitor and supervise the activities of sub committees created from time to
time.
(c) General Secretary:The Secretary shall maintain the records
of the trust, prepare and circulate agenda for Management Committee’s meeting for
the approval of the President and also prepare and circulate the minutes of the
Management Committee meeting. The Secretary shall be also responsible for the day
to day administrative activities of the Trust. The Secretary shall deal with correspondence
received by the Trust, send replies in consultation with the President, Vice President
and/or the Treasurer wherever necessary. He/she will be responsible for the safe
custody of all the properties and records of the Trust. The Secretary shall represent
the Trust in all legal matters, sign the papers related to legal cases, attend to
courts or represent the Trust in Government offices.
(d) Treasurer:The Treasurer will prepare Annual Budget, monthly
and yearly expenditure statements get the expenditure audited by auditor duly appointed
by the Management Committee and place them before the Management Committee for approval.
The Treasurer is responsible to maintain cash book and prepare vouchers for the
payments made, receive contributions, sign acknowledgements for the amounts or articles
received by the Trust and prepare monthly and yearly statements of revenue and expenditure,
as well as, the register of assets of the Trust and place them before the Board
of Trustees for their approval. The Treasurer is authorized to sign bank cheques,
application for drafts and payment instructions jointly with the Managing Trustee
and draw money from the bank, upto the limits defined by the Management Committee
in their meetings. The Treasurer is responsible for safe custody of cash, bonds,
securities etc. of the Trust. The Treasurer shall maintain separate bank accounts
for NEXAS and NEXAS CLUB and any other venture which may start in due course of
time.
1. Membership: The grant of membership shall be subject to approval
from the management committee.
(a) All ex students of Sainik School Nagrota, irrespective of their years of stay
in the school, are eligible to be members of NEXAS provided they were allotted a
roll no by the school. The membership shall be currently available through payment
of yearly charges of Rs 1000 per annum or as prescribed from time to time. The currently
passed out batches in past five preceding years shall be exempted from payment of
annual fees. On onset of sixth year, they shall have to pay annual fees as per rules
in vogue.
(b) Those rusticated or asked to leave school on disciplinary grounds shall not
be granted membership.
(c) Those undergoing any imprisonment awarded by any court of law shall also not
be granted membership.
(d) In case of nonpayment of annual dues for two consecutive years, the membership
shall be suspended till past dues are cleared.
(e) A suspended member shall also forfeit voting rights, election contesting rights
and also right to seek assistance grant from the Trust.
(1) All the members can give suggestions and participate in discussions on execution
of Aims and Objectives of the Trust and for taking up the new projects by the Trust.
(2) All the members are entitled to visit the website/ virtual office of the Trust
at any appropriate time.
(3) To inspect the books of accounts of the Trust during the General Body meeting
or by pre scheduling with Management Committee.
(4) No Member of the Trust shall go directly in the court against any member of
the Trust in any matter relating to the Trust.
(5) In case of any dispute within the house, the matter shall be referred to the
management committee whose decision shall be binding. However in case of arbitration
within the Management committee, the matter shall be referred to Advisory Group
whose decision shall be binding.
